Job Summary

Provide administrative support to the Dean of Nursing Office, ensuring efficient daily operations and responsive service to students, faculty, and community partners. In-person work on campus is an essential function of this position.

Essential Functions


Assist with the coordination and administration of daily office operations under the guidance of the Senior Administration Associate. Implement and monitor office practices and procedures to ensure efficiency and compliance with College procedures and division guidelines. Support the planning and implementation of procedural changes within the Dean of Nursing Office. Provide work direction, guidance, and training to administrative support staff and student workers to promote consistency, accuracy, and effective workflow.

Perform complex and confidential administrative support duties requiring discretion, sound judgement, and attention to detail. Prepare, compose, and edit routine correspondence. Draft response for supervisor's review on more complex matters. Compile, prepare, and verify operational reports. Organize and maintain routine and confidential files and records in accordance with institutional standards. Assist with the preparation and processing of course-related and personnel documentation.

Coordinate meetings, events, and communications by scheduling appointments and conference calls. Prepare agendas and supporting materials. Manage incoming and outgoing correspondence. Distribute summaries and follow-up documentation as appropriate. Support fiscally related processes by monitoring expenditures, verifying charges, assisting with purchasing and budget documentation, and resolving discrepancies in accordance with established procedures. Maintain professionalism, accuracy, and strict confidentiality in all functions supporting the Dean of Nursing Office.

Perform other duties as assigned.

Qualifications

Required Qualifications:

1. Associate's Degree and three (3) years of related experience or an equivalent combination of education and experience which demonstrates possession of the required knowledge, skills, and abilities.


NOTE: A copy of the transcript reflecting this required education MUST be submitted for consideration and reflect completed coursework and degrees conferred. The candidate must be fully qualified for the position at the time of application.


2. Effective oral and written communication skills.


3. Ability to handle confidential information.

6. Proficient with Microsoft Office Suite.


7. Ability to maintain current social media websites.

Special conditions:


1. This is a security-sensitive position as defined under the Texas Education Code, Section 51.215; the successful applicant will be required to undergo a criminal background check, as permitted and/or required by applicable law, and in accordance with the College’s policies and procedures.
