    Office Assistant Child Find

    Reports to: Assistant Director Special Education

    Salary Range: $29,158 - $35,123
    FLSA Status: Non-Exempt

    Position Purpose

    Communicates to parents, District staff, and agencies about the District Child Find processes and procedures. Assists with collection of information, scheduling, collaboration with various district schools, staff and outside agencies.


    ESSENTIAL JOB FUNCTIONS

    • Acts as receptionist, answers, screens, refers telephone calls, and handles inquiries.
    • Provides information on the benefits of the Child Find Process and Procedures.
    • Assist staff at schools and other departments.
    • Requests, reviews, and verifies student information.
    • Maintains confidentiality and appropriately handles sensitive communication with staff and general public.
    • Schedules appointments and maintains office calendar.
    • Takes accurate information and promptly distributes to the appropriate staff.
    • Receives and disseminates materials and information to the appropriate parties.
    • Assembles packets, brochures, mailouts, and other materials as needed.

    • Knowledge of office procedures and of spelling, grammar, punctuation, and arithmetic.
    • Knowledge of office procedures and standard office equipment.
    • Skill in keyboarding and data entry with minimal errors.
    • Skill at the beginners\" level, working with Microsoft Office 365, especially Outlook and Word.
    • Skill in actively looking for ways to help people.
    • Skill in interpersonal relationships, including using tact, patience, and courtesy.
    • Skill in providing exceptional service to both internal and external customers.
    • Ability to understand and follow detailed written and verbal instructions.
    • Ability to accurately prepare and maintain records, files, and reports.
    • Ability to process and handle confidential information with discretion.
    • Ability to operate multi-line phone system and standard office equipment.
    • Ability to use software to access databases, email, status work assignments, and do word processing.
    • Ability to organize and coordinate work, including maintaining attention to details and quality, and prioritize work while meeting multiple deadlines.
    • Ability to communicate effectively, both oral and written forms.
    • Ability to engage in self-evaluation with regard to performance and professional growth.
    • Ability to establish and maintain cooperative working relationships with others contacted in the course of work.


    Travel Requirements

    • Travels to school district buildings and professional meetings as required.


    Physical & Mental Demands, Work Hazards

    • Tools/Equipment Used: Multi-line phone system; standard office equipment, including computer and peripherals.
    • Posture: Prolonged sitting and standing; occasional stooping, squatting, kneeling, bending, pushing/pulling, and twisting.
    • Motion: Frequent repetitive hand motions, including keyboarding and use of mouse; occasional reaching.
    • Lifting: Occasional light lifting and carrying (less than 15 pounds).
    • Exerting: Occasional exerting up to 20 pounds of force; frequent up to 10 pounds of force.
    • Environment: Works in an office setting; exposed to weather elements (such as, sun, heat, cold, and inclement weather) when traveling; may require occasional irregular and/or prolonged hours.
    • Attendance: Regular and punctual attendance at the worksite is required for this position.
    • Mental Demands: Maintains emotional control under stress; works with frequent interruptions.


    Minimum Required Qualifications

    • Education: Accredited High School diploma, GED, or Texas Certificate of High School Equivalency.
    • Certification/License: None.
    • Experience:
      • 1 year\" receptionist or clerical experience.
    • Language: Bilingual (English/Spanish oral and written) preferred.
